HOW TO 5’C  THE SMART WAY?

This is one of the simplest yet most effective tools available to us. 5’C For Manufacturing has been described by many of the Continuous Improvement  gurus as the “Foundation” for all continuous improvement activities.

“Poor workplace conditions lead to wastes such as extra motion to avoid obstacles, time spent searching for things, and delays due to defects, machine failures, or accidents. Establishing basic workplace conditions is an essential first step in creating an efficient place to work” –  Steve F. Karar

SMART 5’C For Manufacturing – Is a basic 5 step process that if followed and implemented correctly will make the workplace more efficient and effective, it will improve quality and it will reduce costs, it will also provide a secure platform to move the businesses forward from

The basic steps are

  •  Clear Out – Eliminating materials that do not belong on the workplace floor such as broken tools, obsolete materials, and excess raw materials
  •  Configure – Creates where products flow through the process and environment with a place for everything and everything in its place
  •  Clean and Check – Gets everything back to the as NEW condition so adverse conditions are easily detectable
  •  Conformity – Establish the BEST method for undertaking a task then ensure it is communicated and everybody does it the same BEST way
  • Custom and Practice – Establish the standards and making a habit – Slipping back into the old ways or “comfort zone” is not acceptable

SMART 5’C For Manufacturing – Will provide a secure platform to move the businesses forward from it is not  just about having a clean and tidy workplace

SMART 5’C For Manufacturing- Is about setting standards and is the basis for all continuous improvement acticities

CARRYING OUT PERFORMANCE REVIEWS THE SMART WAY

Carrying out Performance Reviews is both a necessity in today’s business world and an excellent opportunity for line manager and their team to get together and formally, logically and rationally review what they have been doing in the business and what they need to be doing going forward to allow both themselves and the business to grow.

Gone are the days when the workforce worked, managers managed and there where was little interaction between departments and different work-streams. In today’s modern business all are responsible are responsible for their own actions and there input is vital to business growth this can be actively addressed through carrying out Performance Reviews.

Carrying out a proper structured performance review gives the the line manager and their team members the opportunity to sit down and discuss rationally what is expected of them and how and where they fit in the business and importantly if there is a need for a behavioural change how the business will support that change.

A performance review must not be allowed to become a two way slagging match which will achieve nothing other than create disharmony and resentment, nor should constant failings be left and addressed at this time – they need to be dealt with real time.

This short course aims at giving the reviewer the skills required carry out an effective performance review and set SMART targets for their team going forward.

COACHING AND MENTORING TECHNIQUES

Coaching and Mentoring Techniques are processes that enable both the individual and the business to achieve their full potential by supporting and developing your supervisory management team and giving then the skills they require to mentor their own teams.

At one time Coaching and Mentoring Techniques where seen as a tool for senior managers and company directors, now it is available to all as a professional or personal development tool.

Coaching and mentoring are also closely linked with organisational change initiatives in order to help staff to accept and adapt to changes in a manner consistent with their personal values and goals.

Coaching and Mentoring Techniques, both of which focus on the individual, is proven in improving morale, motivation and productivity, reduce staff turnover and absenteeism, as individuals feel more valued, connected and involved with both organisational change be it small or large.

Coaching and Mentoring Techniques programmes prove to be popular amongst employees as they achieve a balance between fulfilling business goals and objectives whilst taking into account the personal needs which are often seen as secondary. This becomes a two-way relationship with both the business and the employee gaining significant benefits.

This Coaching and Mentoring Techniques Programme includes

  • Coaching – What is coaching and where does it fit in to the daily activities?
  • Mentoring – Mentoring is different to Coaching, understanding the difference is critical to its success
  • Maslow – Hierarchy of Needs, what gets people going how do we motivate the de-motivated
  • Belbin – Team Roles, What makes a team an effective team

Pulling all this together will give your management team the skills to get the very best from their teams coaching and mentoring may share many similarities so it makes sense to outline the common things coaches and mentors do whether the services are offered in a paid or unpaid role.

IMPROVING COMMUNICATION SKILLS AT WORK

We spend a great amount of our working day communicating sometimes successfully or effectively and sometimes not so well. This SMART Communication download looks at improving our own skills and those of are team so that we are communicating effectively and at all times.
SMART Communication looks at how The message must be sent so that it is received and understood, how to ensure that the message received is the same message as imparted by the sender and that the intention and meaning of the message is clear and unambiguous. We must also ensure that it is in a language that the receiver will understand and that it is a two way process.

Improving Communication Skills At Work

The 7 C’s of SMART Communication are

1. Clear – When writing or speaking to someone, be clear in your message. What is your purpose in communicating with this person? If you’re not sure, how can you expect your audience to be?
2. Concise – When you’re concise in your communication, you stick to the point and keep it brief. Don’t use a thousand words when ten will do
3. Concrete – When your message is concrete, then you impart a clear picture of what you’re telling them. There are key details and facts, and there’s a sharp focus. Your message is solid.
4. Correct – When your communication is correct, it fits the receivers needs and requires little or no further explanation.
5. Coherent – When your communication is coherent, it’s logical. All points are joined up and relevant to the topic, and the flow of the message is consistent
6. Complete – In a complete message, the receiving audience has everything they need to be informed and, if required, to take action
7. Courteous – Courteous communication is friendly, open, and honest. There are no hidden insults or passive-aggressive tones. Speak as you would be spoken to

LEADERSHIP AND MANAGEMENT STYLES

An important managerial trait is first to understand the difference between Management and Leadership, surprisingly they are not one and the same as Dr Stephen Covey says in his classic book “The 7 Habits of Highly Effective People”:

“Management is efficiency in climbing the ladder of success; leadership determines whether the ladder is leaning against the right wall”

This is one of the best definitions you will find that separates the two.

Should you manage or should you lead?

What do Managers Do
One good answer to this question comes from the late Peter Drucker, a name that stands in the long history of management studies.

  • Sets objectives The manager sets goals for the group, decides what work needs to be done to meet those objectives
  • Organises The manager divides the work into manageable activities, and selects people to accomplish the tasks that need to be done.
  • Motivates and communicates The manager creates a team out of his people, through decisions they make on pay, tasks, promotion, and through their general communication with the team.
  • Measures The manager establishes appropriate targets and yardsticks, and analyses, appraises and interprets performance for the individual and the business
  • Develops people With the rise of the specialist worker, this task has taken on added importance. People are the company’s most important asset, and it is up to the manager to develop that asset.

What Do Leaders Do
Amongst other thing the keys to strong leadership are

  • Sets an example for others to follow in words and actions
  • Introduces new ideas to the group
  • Helps solve problems and settle differences
  • Organises the group in order to accomplish group goals
  • Ability to make decisions
  • Gives encouragement
  • Make things happen!

So do you lead or do you manage, and more importantly what should be you doing?

HOW TO PRODUCE STANDARD OPERATING PROCEDURES THE SMART WAY

The corner stone of operations – Over a hundred years ago Henry Ford said “standarisation is the sum of all the good things we do today”, but that the situation could change and therefore the procedure must change

It is the same today as it was Henry Fords time, without standarisation you have variation, which is the enemy of SMART working and the biggest cause of defects and dis-satisfied customers, and you must always remember that your Customer is the next person in the supply chain and not to be confused with the end user.

Standard operating procedures (SOPs) are the documented processes that a company has in place to ensure services and/or products are delivered consistently every time. When a company is growing, it is often highly dependent on the owner for all major decisions. As the company reaches a certain size, this form of decision making can limit its capacity to grow further since the owner cannot possibly make all decisions properly. Additional management and documented SOPs are required to allow the company to continue growing, and also establish a succession plan and train the growing employee base

TIME MANAGEMENT SKILLS

Time is one of those most import commodities that we have and probably the only one we cant recover in one way or another, this makes Time Management a key skill in today’s business world.

The art of doing what needs to be done when it needs to be done is not one that we are all equipped with. This short course aims to go someway to correcting that by introducing the following concepts

  • Effective Time Management
  • What do you Do in a Day vs. What you Should be doing
  • Why do you need to manage your Time
  • How to improve your Time Management
  • Delegation

Some quick tips to improve your Time Management Skills’

  • Plan each day. Planning your day will help you accomplish more and be more in control. Write a to-do list, most important tasks at the top.
  • Prioritise your tasks. Time-consuming but relatively unimportant tasks can eat into your day by prioritising you do things in the right order
  • Learn to say No to nonessential tasks. Its hard to do but say no to the non important – don’t get distracted.
  • Delegate. Take a look at your to-do list – what can you delegate – remember delegate responsibility but don’t abdicate responsibility.
  • Take the time you need to do a quality job. Speed is no good if its wrong – Right first time every time is the Motto
  • Practice the 10-minute rule. Work on a hated task for 10 minutes each day. Don’t ignore it – bite the bullet and get it done
  • Evaluate how you’re spending your time. Keep a note of everything you do for a week and then reflect on what you have done and how you could have done it better
